Moving in and out

Moving in: If you do not opt for an individual stand, your booth with the standard equipment (see above) will be available to move in on:

• Tuesday, 11 November 2025, from 18:00 to 21:00
• Wednesday, 12 November 2025, from 7:00 to 8:00

Move-out is required on Thursday, 13 November 2025, between 14:00 and 17:00.

During these time slots, you can access the exhibition area only with your stand personnel tickets. Regular visitors are not permitted at this time.

Delivery Options

Delivery of materials to the venue and to your booth can be done in several ways: personally, via parcel post, or through a freight forwarder.

Please make sure to adhere to the applicable customs regulations and procedures in Malaysia, and ensure that all necessary documents and paperwork are properly completed when importing goods.

Please note that the organiser is not able to provide assistance with customs clearance or import procedures. We strongly recommend appointing a customs agent or a qualified logistics provider to handle all import-related matters on your behalf.

Personal Delivery by Car

There are two designated time slots for exhibitors accessing the event area with car:

• Delivery: Monday, 5 May 2025, from 18:00 to 21:00
• Pickup: Thursday, 8 May 2025, from 14:00 to 17:00
• For professional stand builders and logistics companies, individual delivery / pickup times can be arranged. Please contact us well in advance to the event.

Access through Gate 1 (on Ziegrastraße in front of the Estrel Hotel) requires a temporary deposit of 50 Euro. This grants 1 hour of free access to the loading area. If you exit through Gate 3 within the hour, your deposit will be refunded.

Please use the road and entrances solely for unloading (Monday) / loading (Thursday). To ensure smooth operations for all exhibitors, promptly vacate the area after you're done.

Parking

Estrel Underground Parking Garage

The Estrel provides its own underground parking garage with a capacity of 450 spaces. Entry is via Ziegrastraße. The maximum daily rate is 22 EUR (as of September 2023).

Ziegrastraße 1 Car Park

Another parking option is the “Ziegrastraße 1” open air car park (open link for a map as of February 2023). Suitable for cars and vehicles under 7.5 t, this car park is available for a fee without any restrictions. Please be aware that the maximum entry height is 3.50 m, making it unsuitable for larger vehicles or articulated trucks. The daily rate for parking here is 12 EUR (as of February 2023). Conveniently, it's located just a 5-minute walk from the Estrel's main entrance.

Shipping by Parcel Post

The venue (Kuala Lumpur Convention Centre) does not offer storage for parcels before, during, or after ptc Asia. If you still wish to send parcels directly to the event, you must arrange delivery via a courier or freight forwarder directly to your booth during the designated move-in times.

For smaller shipments, we recommend checking with your hotel to see whether they can accept deliveries on your behalf prior to your arrival.

Large Goods

Large goods can be sent directly to the event grounds. Delivery is possible throughout the day on 11 November 2025 by prior arrangement, and collection must be arranged for 13 November 2025 starting from 14:00.

Please ensure that we are notified of the delivery time by telephone well in advance so that necessary preparations can be made. Delivery can be made at ground level to the booth. The use of pallet trucks (rollers suitable for indoor use) is permitted, but forklifts are not allowed.

We recommend Rogers Asia as the freight forwarder for this event.

Storage during ptc

For fire safety reasons, storing large quantities of containers in the storage areas or rooms of your booth is strictly prohibited.

We strongly recommend using BISCHOFF Event Service & Transport’s warehouse for storing larger quantities. This ensures compliance with fire safety regulations.
